Office employees at least a third of the working time spent on communication, entertainment and leisure, such as computer games and social networks. All this reduces the efficiency and effectiveness of labor. Employee time tracking is the cornerstone of effective personnel management. This is a must-have for any company or organization. Modern technologies that control working hours and staff employment will help to achieve labor discipline.

What is a time attendance system?

Time Attendance System (RMS) is a set of hardware and software measures that are used to control the activities of company employees in automatic mode.

The first data on how many hours employees spend on work and how much on third-party tasks are available just a few days after the introduction of an automated time tracking system.

What data is monitored?

Employee time tracking includes recording and analyzing:

  • access control (time of coming to work and leaving home);
  • being in the workplace (allows you to identify employees who leave the workplace for no reason);
  • hours worked (sick leave, vacation days, days off are tracked);

All this data is compared with the actual hours spent at the workplace.

Access control

As a variant of the time recording system, ACS is used - accounting and access control systems. In addition to the control function, ACS is a necessary security measure, since it allows you to control the access of strangers to the facility and ensures the safety of corporate property.

The ACS task is to record the exact time of arrival at the workplace and the time of leaving. The systems make it easy to control lateness or the end of the working day, even when the boss is not there. ACS is used not only at large industrial facilities, but also at private enterprises and individual secret premises.

System capabilities

The work of all components of the system is aimed at accounting, registration, processing, analysis and storage of data on the activities of the enterprise. The main feature of the ACS is to control the arrival and departure of personnel. The function is implemented using an automated system that is installed at the entrance and does not allow passage without an electronic access key.

The access restriction mechanism includes a video surveillance system, turnstiles, reinforced locks with an electronic key and other elements that prohibit free entry / exit to a building or office.

An electronic key is most often a magnetic or plastic card that is scanned to access an object. Each employee has his own identifier, which is "sewn" into the electronic key. The access key can be documents, identity cards or biometrics (reading photos, fingerprints, retina, voice and other features).

Key data is read and recorded in a general electronic log book, which is stored on a cloud or local server.

The RMS software module monitors the activity of each user. Depending on the software version, subscription type and cost, the program documents the data on work with the installed set of programs. Sometimes the accounting program has the ability to control phone calls, view the user's desktop in real time, control the mailbox.

The function of controlling working hours is also available in DLP systems . In SearchInform DLP, you can track user actions in programs and on websites in order to calculate the productivity of an employee or department.

Installation

The process of installing the monitoring system hardware includes routing the cables for installing the hardware components; installation of executive modules: locks, latches, doors and other elements; installation and configuration of a central PC for processing accounting data.

Next, work begins with the RMS software shell, which provides for the introduction of a control system for the central computer, the installation of the software necessary for RMS operation.

The final stage is setting up control parameters and developing a scheme for displaying reports on the work of each employee.

The firm can install access control and time attendance systems both together and separately.

Advantages of RMS and ACS

Implementation of RMS and ACS helps:

  • Increase the level of control by completely eliminating the human factor, when all accounting work is performed by a computer, and employees will be able to substitute or "cover up" each other.
  • Establish continuous operation with the ability to run the system 24/7.
  • Combine support for access restriction, time attendance, video surveillance and other functions.

The time tracking system is a convenient way to control the work schedule and productivity of the company's employees. The RMS serves as a personnel assessment tool that helps make informed personnel decisions.
